Privacy Notice

This Privacy Notice tells you what to expect when Aura Leisure and Libraries Limited collects your personal data.

We are fully committed to compliance with data protection legislation, as well as your rights to confidentiality and respect for privacy.

On Friday, 1 November 2024, the services provided by Aura Leisure and Libraries Limited will be officially transferred into a Local Authority Trading Company (LATC) established by Flintshire County Council.

As a valued customer, you’ll still be able to access the same leisure and libraries facilities – all of the normal services you have been using as a member will continue.

The big change is that from 1 November, the LATC will take direct control of running these services, and they will no longer be delivered by Aura Leisure and Libraries Limited.

The information about you that Aura currently holds and manages enables us to provide you with safe and enjoyable leisure and library services, and to effectively manage our customer accounts. As part of this transfer process, we will be sharing this information with Flintshire County Council to enable them to continue delivering these services to you.

Aura is fully committed to conducting this transfer in compliance with data protection legislation, and will continue to respect and protect your rights throughout the process.

If you pay by direct debit for your membership you will not see any notable change, but your collections will now be made by Flintshire County Council, and no action needs to be taken at this time. Flintshire County Council intends to collect the same payment on the same date as you currently enjoy.

The data we collect about you

We may collect, use , store and transfer different kinds of personal data about you, dependent on the services you are accessing.

When deciding what personal information to collect, use and hold, we are committed to making sure that we will:

• Collect, hold and use personal information only where it is necessary and fair to do so;
• Keep your personal information secure and safe;
• Securely dispose of any personal information when it is no longer needed;
• Be open with you about how we use your information and who we share it with; and
• Adopt and maintain best practice high standards in handling any personal information.

We will use this information to provide the services requested, maintain accurate records, and, if you agree, to send you marketing information about events or services we offer.

How is your personal data collected?

We collect information about you when you register with us to access our services and products.

We also collect information when you voluntarily complete customer surveys, provide feedback and participate in competitions.

Website usage information is collected using cookies

A cookie is a file which asks permission to be placed on your computer’s hard drive. The cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies help us provide you with a better website experience – they enable us to understand which pages you find useful and which you do not. A cookie doesn’t give us access to your computer or any detailed information about you. You can choose to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer, although this may adversely affect how the site works.

In addition, we use suppliers who may also set cookies on their own websites. Our website does not control the dissemination of these cookies. You should check the third-party websites for more information about these.

How we use your personal data

We collect information about you to ensure we are able to provide you with safe and enjoyable leisure and library services, to effectively manage our customer accounts, and if you agree, to contact you about other products and services we offer that we think may be of interest to you.

We will only use your personal data when the law allows us to.

Most commonly, we will use your personal data for the performance of a contract between us. It is used:

• For the purpose for which you provided the information, i.e. to become a member of the library service or our leisure centres;
• To enable us to communicate with you, and provide you with safe and enjoyable services;
• To enable us to effectively manage your customer account, and to ensure the collection of any charges that you may incur as a member of the library or leisure service;
• To monitor our performance in providing services to you; and
• To gather statistical information to allow us to plan future provision of services and to obtain your opinion about our services.

Libraries

When you register with our library services your personal information is kept securely on a shared library management system which stores borrower records on a database. This is a partnership between Welsh Library authorities. Our services work together to share costs and offer enhanced services to customers. Your data will only be used for the purposes of managing your library use and is used in a way that protects your privacy.

Your data may also be accessible to the suppliers of our library management systems. These suppliers have committed to handling data in accordance with the requirements of the GDPR, and will only do so to the extent that is required to maintain the library management systems.

Leisure

When you register with our leisure centres your personal information is kept securely on a leisure management system which stores customer records on a database. Your data will only be used for the purposes of managing your leisure account and is used in a way that protects your privacy.

Your data may also be accessible to the supplier of our leisure management system. The supplier has committed to handling data in accordance with the requirements of the GDPR, and will only do so to the extent that is required to maintain the leisure management system.

Aura Leisure and Libraries Limited will not share your information for marketing purposes with companies outside the Aura Group.

We will not disclose your information to any other third party, except where required by law.

We will ensure that this information is kept for no longer than is necessary to provide you with these services. Exceptions may apply to the processing for historical, statistical or scientific purposes. Where this is the case the relevant data will be anonymised first to remove any identifying features.

When we dispose of personal information, we will do so in a secure way.

Communication preferences

Customers who opt-in and agree to receive marketing information about events or services we offer will be the first to know about:

• New services, classes and activities
• Available spaces in popular sessions
• Payment dates for courses
• Special offers and discounts

Your legal rights

Under certain circumstances, you have rights under data protection laws in relation to your personal data:

The right to be informed: To know who we are, why we hold your information and how we will use it. We must explain this in a clear and sensible way.
The right of access: To have confirmation that we do hold information about you and to request access to that information at any time.
The right to rectification: If the information we hold about you is wrong or not complete you can ask us to change it.
The right to erasure: You can ask that your information is removed from our systems, and unless there are important reasons for us to keep it, we must agree.
The right to restrict processing: You can ask that we only hold a limited amount of your information and that we do not do anything else with it.
The right to data portability: You can ask us for a copy of the information that we hold about you and reuse it for your own purposes.
The right to object: If you don’t feel that we are using your information in the right way then you can let us know.
Rights in relation to automated decision making and profiling: If we have made decisions about you by using computer or automated systems that haven’t had any human intervention then you can let us know that you are unhappy and ask that the decision is reviewed.
